2. Information We Collect

Information you provide

  • Account details: your name, email address, and password (stored only as a secure one-way hash, never in plain text).
  • Financial information you enter: expenses, amounts, currencies, split details, budgets, settlements, categories, tags, and notes you add to a community.
  • Uploads: receipt images and any files you attach to an expense.
  • Communications: messages you send us, such as support requests.

Information from your use of the service

  • Subscription and payment data: if you upgrade to Pro, payment is processed by our payment provider, Stripe. We do not store your full card number. We retain a customer reference, subscription status, plan, and billing period.
  • Technical data: IP address, device and browser type, and basic log data needed to operate and secure the service.

Information from other people

  • If someone invites you to a community, or adds you as a member, guest, or dependent, they may provide your name or email to send the invitation.

3. How We Use Your Information

  • To provide the core service: recording expenses, calculating splits and balances, and producing settlement suggestions and statements each cycle.
  • To manage your account and authenticate you.
  • To process subscriptions and billing through Stripe.
  • To send service communications: invitations, settlement and cycle notifications, password resets, and important account notices.
  • To secure the service, prevent abuse, and debug problems.
  • To comply with legal and accounting obligations.

4. Sharing Within a Community

TallyBee is collaborative by design. When you join a community, other members can see the expenses, splits, balances, and your display name associated with that shared activity. Guests invited via a shared link may view a community statement. Only share a community with people you trust.

5. Who We Share Data With

We do not sell your personal information. We share it only with:

  • Service providers who help us run TallyBee, under contract, including: hosting and database infrastructure, our payment provider (Stripe), email delivery, and file storage for receipts.
  • Legal and safety: where required by law, or to protect rights, safety, or the integrity of the service.
  • Business transfers: as part of a merger, acquisition, or sale of assets, with notice where required.

6. Data Retention

  • We keep your account information for as long as your account is active.
  • Financial records (expenses, splits, settlements) are retained even after you delete them or close your account. Deletion in the app is a soft delete: the record is hidden but kept so that balances stay correct for the other people who shared the expense with you.
  • When you delete your account, we anonymize your personal information (your name and email are replaced with non-identifying values) while retaining the underlying financial records in anonymized form.
  • Some data is retained longer where required for legal, tax, or accounting purposes.

7. Your Rights

Depending on where you live, you may have the right to access, correct, export, or delete your personal data, and to object to or restrict certain processing. You can update much of your information in your profile. For other requests, contact privacy@tallybee.app. Financial records shared with others may be retained in anonymized form as described above.

8. Security

We protect your data with measures including encryption in transit, hashed passwords, scoped access controls, and authorization checks on every request. No system is perfectly secure, but we work to protect your information and respond promptly to any incident.

9. International Transfers

Your information may be processed in countries other than where you live. Where required, we use appropriate safeguards for such transfers.

10. Children

TallyBee is not intended for children under 16. A "dependent" in the app is a financial role managed entirely by an adult member and does not require the dependent to have an account or provide information directly.

11. Cookies

We use only the cookies necessary to keep you signed in and to operate the service securely. If analytics are added later, this section will be updated and consent obtained where required.

12. Changes to This Policy

We may update this policy from time to time. We will post the new version here and update the last updated date. We will notify you of material changes where required.
